REPOST - GIZ Indonesia for the Sustainable Urban Transport Improvement - Implementation of the NAMA Facility (SUTRI NAMA - INDOBUS) project: Monitoring, Reporting and Knowledge Management Advisor

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international cooperation enterprise for sustainable development with worldwide operations. Its corporate objective is to improve people’s living conditions on a sustainable basis.

SUTRI NAMA as registered with the UNFCCC aims to tackle challenges of growing urban traffic congestion and increasing urban transport related greenhouse gas emissions by transforming urban transport in Indonesia with a mix of capacity-building and investment measures provided through a national sustainable urban transport programme. SUTRI NAMA is implemented starting December 2017 with the support from the NAMA Facility through GIZ as the delivery organization.

A technical assistance component namely Indonesia Bus Rapid Transit Corridor Development Project (INDOBUS), funded by the State Secretariat of Economic Affairs of Switzerland (SECO) added to SUTRI NAMA for the development and start-up of bus rapid transit (BRT) corridors in selected pilot cities of Indonesia. The component has been working at both local and national levels in the field of BRT planning, project management support, BRT operations management, public transport funding as well as reform of the private minibus-sector towards participation in operating consortiums. At national level coordination has to be sought between the several relevant line ministries; best-practice examples / project achievements have to be documented, published and promoted for replication. 

We are seeking one qualified Indonesian candidate for the following position:



1..     Management and Coordination:

Supports project planning by developing and designing the concepts and strategies, ensure implementation according to the GIZ standard and close cooperation with the partners;
Support the project in achieving the project goal and activities agreed with the partners, team agreement and / or agreement with the Programme Director and/or Project Leader;
Actualizes the planning continuously together with the counterparts;
Takes part in the formulation of project planning and facilitate synchronization between the planning and budgeting system;
Compiles the relevant information for joint activities and assignments;
Contributes to the coordination of the project works so that the objective and indicators can be achieved;
Supervise consultants, contractor, and interns for the project;
Contributes to the writing of the project progress and monitoring reports, identifies bottlenecks and recommends alternative management options to the project responsible manager;
Represents project when needed;
Evaluates results of activities and give input/feedback for better implementation.

2.     Implementation and monitoring

Support key advisors in activity preparations and delivery, such as but not limited to; maintaining communications with targeted groups, coordination meeting, as well as event implementation;
Support key advisors in monitoring tasks, including but not limited to: activity monitoring, result-based monitoring and GIZ results data;
Support key advisors in reporting tasks, including but not limited to: semi-annual and annual reports to project partner as well as data and materials for reporting to project donor;
Monitor project progress, assess and determine bottlenecks during the implementation of the Project, and recommend alternative courses of management actions to the Programme Director and/or Project Leader;
Joint and contribute actively in designing, implementing and monitoring the progress of the project includes:
o    Contribute actively in operational plan / designing of project approaches,

o    Joint and contribute actively in regular project progress monitoring meetings

3.     Networking and Cooperation:

Ensures cooperation, regular contact, and dialogue with partners, relevant organizations, non-governmental agencies, and individuals with other related projects to improve and maintain good working relationships;
Travels in accordance with project requirements;
Supports project responsible manager in smooth partner relations;
Provides technical assistance to local, regional and international experts and related stakeholders.

4.     Reporting and Knowledge Management:

Designing and implementing knowledge management strategy; 
Support the implementation of knowledge management strategy within the scope of SUTRI NAMA and INDOBUS project;
Formulates appropriate input for project reports;
Prepare reports, power-point presentations and contribute to the publication development according to GIZ standards as outputs from project results or other related activities;
Connecting with stakeholders on knowledge needs;
Update the Project’s databases with data provided or obtained from research results;
Work closely with project staff to ensure all knowledge products are updated, readily available and in order;
Compiles information and ensures knowledge transfers;
Maintaining the project’s knowledge management system (file server) jointly with the IT Officer;
Ensure all relevant documents are available and uploaded to DMS (Document-Management System of GIZ) and the project’s server;
Prepares appropriate input for various project/programme reports including annual reports, and contributes to the other reports required by the Programme Director, donors, and GIZ Head Office

5.   Other duties

Contribute to the overall activities of the team and Project as required;
Carryout any other duties within the scope, spirit and purpose of the job as requested by the line manager.

Required qualifications, competences and experience

Master degree in relevant fields. Bachelor with sufficient experience are also encourage.
Experience in developing the documentation of processes and result platform (knowledge management);
Strong programme formulation, implementation, monitoring and evaluation skills;
Strong knowledge of results-based management principles and approaches;
Strong interpersonal, communication and networking skills;

Professional experience

Essential: project management, monitoring and evaluation,
At least 6 years of professional experience in similar position or equivalent 
Experience in working on project with international donors, governments, and development institutions is an asset
 Knowledge on sustainable urban transport projects, infrastructure projects

Other knowledge, additional competences

·         Proficiency in the Indonesian and English language (reading and writing);

·         Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management; 

·         Excellent time management skills with a demonstrated ability to manage multiple priorities, deadlines, and tasks efficiently;

·         Strong team building and networking qualities;

·         Excellent command in all MS Office Application;

·         Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management..
