ICRC Vacancy for Daily Worker - HR Administration Assistant

The International Committee of the Red Cross (ICRC) is a neutral, impartial and independent humanitarian organization whose mission is to protect the lives and dignity of victims of armed conflict and other situations of violence, and to provide them with assistance. The ICRC also endeavors to prevent suffering by promoting and strengthening humanitarian law and universal humanitarian principles. Established in 1863, the ICRC is at the origin of the Geneva Conventions and the International Red Cross and Red Crescent Movement. It directs and coordinates the international activities by the Movement in armed conflicts and other situations of violence.


The ICRC Delegation in Jakarta is seeking an experienced and highly motivated person to fill the position of:

Daily Worker – HR Administration Assistant
(for 3 months)


Under the close supervision of HR Officer, the HR Administration Assistant assists in carrying out administrative work including filing and archiving documents for HR digital transformation as part of improved HR delivery services, in line with the ICRC’s and delegation’s policies and the applicable laws and regulations.

Main responsibilities

HR Administration (60%)
Under the close supervision of HR Officer, the HR Administration Assistant assists in carrying out administrative works including filing and archiving personnel-related HR documents:
-     Organizes, compiles and archives personnel files of active staffs, consultants, daily workers and interns for both its softcopies and hardcopies.
-     Liaises with delegation employees for any missing required personnel files.
-     Organizes, compiles and archives HR policies and SOPs for its softcopies and hardcopies.
-     Organizes and compiles hardcopies personnel files of inactive staffs, consultants, daily workers and interns as well as prepare all the documents and checking list control to be sent to HQ, in close liaison with Chancellery and Information Management Department.
-     Ensures and upholds the confidentiality throughout the process.

HR Digital Transformation (40%)

Whilst ensuring the completeness of personnel files in local directory, the HR Administration Assistant partakes in the hr digitalization:
-       Uploads and manages personnel files of active staffs, consultants, daily workers and interns from local directory to HR strictly confidential library in Jakarta Delegation Team Space.
-       Uploads and manages HR policies and SOPs from local directory to HR strictly confidential library in Jakarta Delegation Team Space.
-       Uploads and manages personnel files of inactive staffs, consultants, daily workers and interns from local directory to HR strictly confidential library in Jakarta Delegation Team Space.
-       Collaborates closely with Chancellery and Information Management Department in terms of access for HR strictly confidential library.
-       Ensures and upholds the confidentiality throughout the process.


Requirements
-       University degree, professional diploma or equivalent experience
-       Fresh graduate welcome to apply
-       Proven experience and hands-on in the provision of administrative and clerical task preferable
-       Preliminary experience as an HR Administrative Assistant preferable
-       Able to effectively use computer software
-       Excellent organizational and time-management skills
-       Attention to detail with the ability to multi-task
