Purpose:

The purpose of this scope of work is to procure writing, copy-editing, photography, graphic design and printing services to develop a bilingual (Indonesian/English) coffee-table book portfolio of stories and images that document Catholic Relief Services’ (CRS) “Transitional shelter & sanitation assistance to Internally Displace People (IDPS) of the 2018 Sulawesi Earthquake” Project results and best practices in Central Sulawesi. The consultancy activities will be conducted during the period from October – December 10, 2020.

Objectives of Consultancy

As a part of the project’s learning objectives, CRS will outsource the production of a coffee table book to an outside supplier to promote optimal publicity of the Project and its context. The communication products aim to showcase the results of the work of CRS and its partner in contributing to more secure futures, lives and communities through a menu of cash-based shelter options and supporting community infrastructure support. The consultant will visit Sulawesi and collect a variety of content such as but not limited to photos, portraits, quotes and interviews of beneficiaries, CRS staff and partners. The consultant will draft 20 feature/success stories that will be used for the development of a coffee table book that tells readers about the impact of CRS’ Transitional Shelter and Sanitation Assistance to Internally Displaced People of the 2018 Sulawesi Earthquake has had on the people’s lives.

The compelling stories of change compiled from direct conversations with beneficiaries and rich images, this book will show case the positive impact of CRS and its partner’s commitment to improve homes and communities for those displaced by the 2018 disaster.  The target audiences for these products are government, donors and shelter practitioners.

Specific Objectives:

This engagement includes four key components: 1) content gathering, 2) writing, 3) layout and 4) printing with these specific six objectives:

Determine key messages. Work with CRS Indonesia Country Program to determine at least five (5) key messages to be highlighted and communicated in the coffee table book.

Prepare interview questions and a shot-list. Draft  a list of questions for your interviews with beneficiaries, CRS staff and partners and prepare a list of shots, angles and actions that you would want to capture to effectively communicate the key messages that you want to convey in the coffee table book.

3.       Collect content. Based on the shot-list, travel to the project locations and gather content for the coffee table book. Successfully capture and emotionally express the core elements of the situation assigned for coverage through written and visual content.


Produce content. Over the course of two to three weeks, write 20 feature/success stories that will be included in the coffee table book. Stories should reflect CRS' core messaging and brand tone (Faith Knows No Bounds and Bold, Yet Humble). Share your draft to CRS Indonesia for feedback. Finalize the success stories based on CRS’ feedback. All images should be shared to CRS Indonesia through Dropbox or any cloud-based storage that may be accessed by CRS.

Design and lay out the coffee table book. Create a layout/design template of the coffee table book in Indesign and share with CRS for feedback. Initial layout template should include at least the cover page and one success story. Revised the initial template based on the comments of CRS. The design of the coffee table book should comply with CRS' 2020 Brand Book and with project donor branding guidelines.

Print the coffee table book. Print the coffee table book once the content and layout are finalized and approved by CRS Indonesia.

The consultant(s)/supplier must abide by CRS’ Code of Conduct and CRS’ Safeguarding policy to uphold the dignity of beneficiaries served by CRS. CRS’ branding guidelines and standards for media materials should also be followed.


Arrangements:


Other than flights and hotels, the contractor will be responsible for covering all logistical arrangements, including local transportation in Palu, insurance, accommodation etc. A lump sum will be paid to the contractor for the assignment. The lump sum covers all fees as well as the extra costs for the project.

Place of Performance:


The consultancy will be conducted remotely and in Central Sulawesi, with expected travel to two project locations in Palu City. The consultant(s)/supplier will work closely with CRS’ Emergency Team Leader and project managers to develop timetables for site visits and interviews.


Period of Performance:


The total period of performance will be approximately 20 days with the period of performance between 15 October – 15 December 2020.

Deliverables:


Deliverable 1. Detailed Work Plan: Based on the Scope of Work, project documents provided and the debrief meeting with CRS Indonesia, develop a detailed workplan that describes how the objectives and deliverables will be achieved and the general concept of the coffee table book. The detailed work plan should include the following:


1.       Schedule of key activities and deadlines for approval by CRS Indonesia prior to making arrangements for scehduling field visits, interviews and primary data collection.   


2.       Key messages: With CRS Indonesia, identify the key messages that you want to communicate to your readers. Keep key messages specific and focus on the concrete details of the project’s impact. The key messages will help you identify the stories and photos to gather for the book. Please refer to Objective 1.


3.       Questionnaires and shot-list: Share with CRS Indonesia the questions that you intend to ask to beneficiaries, partners and staff. Create a possible shot list for each of the key messages that you identified.

Deliverable 2. Stories and Photos: Based on the agreed key messages the consultant/supplier should develop at least 2-4 stories and 5 high-quality photos[1]. Stories shoud reflect CRS' core messaging and brand tone (Faith Knows No Bounds; Bold, Yet Humble) and convey the key messages that CRS wants to communicate in the coffee table book. Draft must be shared with CRS Indonesia for feedback and approval. All images should be shared with CRS through Dropbox or any cloud-based storage that may be accessed by CRS.

Deliverable 3. Draft Layout: Prepare a draft layout[2] in InDesign to be presented to and approved by CRS Indonesia. Provide CRS a copy of the book in InDesign and PDF format. The layout should include placeholders for text, photographs and any other visual content (which may include illustrations and infographics based on project documents).

Deliverable 4. Coffee Table book: Provide CRS one sample printed copy of the book (hard bound (min. 2.5mm thickness), rendezvous paper 130-140 gsm with the suggested sizes of 10"x12" or 11"x11" – to be approved by CRS). Once material is approved, print 200 hard bound copies of the book.

Qualifications:

Photographer

At least five years of working experience in photography using advanced digital cameras.

Strong ability to compose a shot, understand framing, color and light to create a visually pleasing photograph.

Mastery of the latest photographs editing software.

Providing samples of photographs taken in past assignments.

Ownership or possession of a high resolution state of the art digital camera/equipment is a MUST.

Writer

A university degree in journalism or any other related field.

Three to five years of working experience in journalistic writing and storytelling.

Good researching skills and understanding of story theme and context. 

Fluency in Indonesian and English.

Providing samples of writing.

 

Design/Layout

At least three years of working experience in graphic designing.

Mastery of design software such as Illustrator or In Design and existing access to the software.
