Join the Economic Cooperation Program Collaborative Hub in Jakarta as the Activity Support Officer who will assist the ECP Hub in ensuring that all ECP activities (logistics and administration support) are functioning and maintained in a professional and timely manner.

Overview of the Role:
The Activity Support Officer will assist in liaison and organisation of meetings with ECP’s counterpart agencies and provide project and events management support. Key skills required include research, note-taking, minutes, organisation of workshops, liaison with counterparts, data input and analysis, highly developed communications skills and project management abilities. In addition, the ASO requires good administration and financial documentation skills, ability to work in an international environment and work effectively in a team across Government of Indonesia and Government of Australia partners.
 
About the Program:
The Governments of Indonesia and Australia have entered into the Indonesia-Australia Comprehensive Economic Partnership Agreement (IA-CEPA), creating a framework to unlock the vast potential of the bilateral economic relationship. To support this ambition, the IA-CEPA includes a new Economic Cooperation Program (ECP). The ECP’s goal is to maximise the benefits of IA-CEPA, support trade and investment, improve market access, and promote inclusive economic growth in Indonesia. The primary objective is to ensure the efficient and effective implementation of IA-CEPA to increase two-way trade and investment that is broad based and inclusive. Through a “Collaborative Hub”, the ECP will work with Australian and Indonesian partners, combining sound trade and development practice by supporting Indonesia to maximise the benefits of IA-CEPA, addressing regulatory challenges (through technical assistance), while resourcing innovative industry engagement in sectors of mutual interest, and by investing in standards, skills and private sector development in new areas.

As a member of the Hub, you will support new collaboration efforts and ways of working in trade and development programs, integrating gender equity and social inclusion as a cornerstone of trade.
 
Responsibilities and duties:
Under the direction of the Work Unit Manager, key tasks the ASO is responsible for include:

• Logistics and administration support to ECP activities, such as:
- Organising travel, meetings, workshops, forums, or Focus Groups and video sessions, including preparing invitation letters and documents, support in designing content materials and information briefs.
- Coordinating with adviser(s), GoI counterparts and the ECP team in the management of logistics required for the activities. This includes management of invitations and attendance, provision of meeting materials/booklets, arrangement of venue and catering, and other activities as required.
- Following finalisation of event itinerary and relevant logistics, distribute information to the relevant event participants, including relevant GoI information.
- Arranging (and sometimes providing) translation support to Advisers in both Bahasa Indonesia and English.
- Liaising and maintaining good relations with ECP’s counterpart Indonesian government officials, and regularly communicate and follow up regarding work programs and activities.
- Format project reports and other deliverables using ECP templates.

• Financial support to ECP activities, such as:
- Providing relevant inputs to the program budget in close consultation with Adviser(s) and GOI counterparts, and monitoring expenditure as required.
- Organising payments for program related activities, ensuring that financial management is undertaken in accordance with relevant program policies and procedures.
- Ensure invoices from vendors are verified and approved by the Adviser(s) or relevant delegate (where appropriate) for payment, and that supporting documentation for processing payments of activity reimbursement and allowances are complete and accurate.
- Reviewing incoming invoices, particularly expenses allocation within budget categories / cost codes, and validate supporting documents.

• Support to Monitoring, Evaluation and Learning, such as:
- In the role of a designated Monitoring, Evaluation and Learning (MEL) Focal Point, support the ECP MEL Lead Adviser with activity tracking and monitoring, data collection, database administration, and MEL related coordination with counterparts, as required.
- Compile weekly media monitoring on relevant topics related to Indonesian public sector and maintain the database.
- Provide support in conducting online survey and produce analysis through graphs and charts on survey responses percentage.
- Contribution to research related support such as graphs, charts and surveys.

About You:
You will be a motivated and proactive Activity Support Officer with the right combination of talent, energy and a commitment to technical excellence. You will also have:

·       Bachelor’s degree and relevant practice-based experience on organizational development/civil service issues. International Relations and NGO experience desirable.

·       At least 5 years experiences in a similar role

·       Demonstrated ability to conduct research, analysis and on civil service policies and practices.

·       Proven track record in organization of workshops, materials and products.

·       Experience in content design is preferred.

·       Demonstrated understanding of internal governance and decision-making arrangements in the Indonesian government and translating these into operational decisions.

·       Strong ability to provide professional support to senior Indonesian government officials, and Australian government officials and to engage with other development partners.

·       Excellent communication skills, including networking and relationship skills and written communication in Bahasa Indonesia and English.
