Title: Assistant, Sponsorship

Reporting Relationship: Specialist, Sponsorship

 

summary

The position is responsible for handling children and sponsors’ letters from receiving, task distribution to sponsorship staff, storage, packaging, and delivery to implementing partners, sponsors, and alliance member offices. He/she ensures that sponsorship products will be handled according to relevant policies and standards.

DUTIES/RESPONSIBILITIES

Child Correspondence Processing and Compliance

·       Review all types of sponsors’ and children’s letter to ensure that they meet the organizational policy and quality standards and process them on Salesforce.

·       Coordinate with concerned Administration staff to ensure timely dispatch of all communications to children and sponsors.

·       Support the Sponsorship Officers with DFC transactions and review of letters.

·       Compile observations and findings from the review of letters and provide feedback to concerned staff that will enhance the quality of children’s communications.

 

Sponsorship System Administration

·       Perform child enrollment data entry and mass data revision/correction based on the request by SR staff.

·       Ensure that Salesforce are maintained and updated on a regular basis and reports are generated accurately.

Coordination and Integration (Unit Logistic Administration)

·       Maintain monitoring logs for tracking workload on sponsors mails and children’s correspondence and support the preparation of periodic accomplishment reports.

·       Monitor the sponsorship’s administrative and logistics needs and initiate and coordinate procurement supplies and services.

·       Contribute to organizational learning by identifying and supporting the documentation of lessons that will improve and streamline work processes.

 

Child Safeguarding

Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures and conduct yourself in a manner consistent with Child fund’s Child Safeguarding Policy.

Ensure that letters and sponsorship materials are kept in a secure place at the end of each workday.

 

QUALIFICATIONS/EXPERIENCE

At least 3 years of relevant work experience in a similar capacity with an international not-for-profit environment will be an advantage.

Strong written and oral communication skills in English, with above average networking, presentation, and interpersonal skills.

Proven ability to lead a multi-disciplinary team, work independently and under pressure. 

Organized, detail-oriented, team player, self-starter and results-oriented.

Excellent organization and prioritizing skills - ability to handle and perform in fast-paced, multi-task

environment.

Above average computer proficiency in database systems and general office software applications (i.e. Word,

Excel, Outlook), and with demonstrated experience in handling information and database system.

 

Education/Certifications

Bachelor’s/vocational degree in communication, child development, or other related fields; equivalent

relevant work experience may be acceptable in lieu of degree.
