EVENT ORGANISER SERVICES
I. Background
As a federal enterprise, the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its objectives in the field of international cooperation for sustainable development. On behalf of the German Government, GIZ currently provides advisory services to the Government of Republic Indonesia since 1975. For further information, please visit www.giz.de/indonesia.
One of the GIZ projects implemented in Indonesia is Innovation and Investment for Inclusive Sustainable Economic Development (ISED). In order support and manage successful implementation of ISED’s events, the project has identified its demand for event organizer for project small to large scale events especially during the pandemic in which events are conducted in hybrid and/ or virtual formats. With this context, ISED is seeking an Event Organizer to plan, conduct, organize, and manage, hybrid and/ or virtual events from 2021-2024. The detail service is set forth in the attached TOR (Terms of Reference).
II. Essential Criteria for Pre-Qualification
1. At least five years advance experiences in organizing and managing larger face to face events.
2. Extensive experiences in managing virtual and/ or hybrid events (face to face and online in combination).
3. Extensive experiences in providing simultaneous interpretation in offline and virtual meetings.
4. Experience in collaborating with international and government, NGO, and CSO audiences.
5. Advance understanding of online meeting platform and its functioning, including event streaming to social media platforms.
6. Experience with the Indonesia media landscape – national and local (e.g. former journalist, worked in the media field, etc.
Administrative requirements
7. Average annual turnover for the last three financial years is at least EUR 65.000
8. Number of employees of the previous year is at least 10 persons
9. The technical assessment is based only on reference projects with a minimum contract volume of EUR 40.000
10. At least 6 reference project(s) in the field of Event Management
11. and at least 6 reference project(s) in Indonesia (country and/or region) in the last 3 years.
III. EOI Submission
Qualified consulting firm/company interested in providing the services are invited to submit their EOI in English to ID_Quotation@giz.de by latest 31 October 2021, so they may be pre-qualified for submission the proposal.
The subject line of the email must include the reference no: 83393308 EOI for Event Organiser.
The maximum size of each email should not exceed 10 MB. The company can send documents through google drive (link). Please do not send documents in rar format.
Requirement Documents
• Your EOI shall describe why you are qualified to provide the services, attaching your detail experiences/reference projects with the minimum contract volume stipulated in section II
• Company Registration Documents/ legal documents
• Company Profile including organizational structure and staff competences (CVs of key personnel).
Please note at this stage, the submission does not constitute any commitment from GIZ to proceed with the contract awarding. It would serve merely as an expression of interest for further tender process. Consulting firm/company successfully shortlisted after the Expression of Interest, will be invited for the tender process to submit the proposal.
