Vacancy: Project Manager Gender Equality, Diversity and Inclusion (GEDI)

 Yayasan Humanis dan Inovasi Sosial is an Indonesian organization affiliated with Hivos, born out of an active collaboration between Netherlands based Hivos and several like-minded Indonesian academics and civil society leaders who subscribe to the values and mission of Hivos. The purpose is to promote humanist values in the social, health, and cultural fields which is defined in terms of the ability for each individual to assess and decide independently and responsibly, the right to freedom, dignity and a passion to create a just and tolerant society.

Yayasan Humanis seeks qualified candidates for the position of:

Title :  Project Manager Gender Equality, Diversity and Inclusion (GEDI)
Duty Station :  Jakarta, Indonesia
Report to :  Program Development Manager (PDM) GEDI
Duration :  1 (one) year


Functional Context
The Project Manager GEDI works closely with the GEDI program team, Finance Officer, Operations Manager, and other relevant Yayasan Hivos’ staff, as well as the consortium partners of the managed projects.


Roles and responsibilities

A. Grant Management and Partner Support
1. Support organization of the program events and activities.
2. Provide technical support as needed to partners in the formulation of grant applications.
3. Provide technical assistance to partners in the implementation of projects on an as-needed basis
4. Support capacity development and empowerment approaches.
5. Coordinate and support the in-country grants team in carrying out program and accountability assessments.
6. Ensure effective post-contract grant management including collection and assessment of reports, follow-up, communication with and monitoring grantees on the ground; ensure scheduled payments to grantees, and liaise with finance officer to ensure seamless grantee management and communication.
7. Manage, review and make recommendations to change as needed to ensure that grant processes are in line with projects needs.

B. Project Administration
1. Assisting the Program Development Manager in processing proposals leading to rejection or taking into proper assessment procedures. 
2. Assisting the preparation of all necessary documents and administrative handlings for new outgoing contractual commitments for partner organizations and consultants according to existing procedures (rejection letters, organization assessments, project summary and organization descriptions, entrance of data in project administration, contract letter and cover letter to partners).
3. Processing of annual progress reports and informing partners on the outcome.
4. Monitoring the timeliness of report submission from partners.

C. Compliance and Reporting
1. Process and monitor information on grant allocation in the administrative system.
2. Developing draft reports for country-level and global projects (grant portfolio reporting, data collection and learning, time writing).
3. Develop and prepare operational reports for grant management at the national and global levels.
4. Support grants and financial data reconciliation and preparation for reports, audits and other projects reporting as needed.
5. Project monitoring and prepare monitoring reports.

D. Communication and Representation:
1. Coordinate the implementation of the projects in the country in liaison with the management team.
2. Coordinate the partners and potential supporters in the country.
3. Coordinate and lead pro-active and innovative outreach to the target groups for the program and coordinate the project.


Knowledge, experiences and competencies
3 years experience with medium scale project management.
Knowledge of grant funding policies and procedures and applicable country/ national regulations.
Knowledge of and affinity with gender, women empowerment, social inclusion,  marginalization, lobby & advocacy. 
Relevant academic background.
Excellent written and verbal English.
Administrative project management skills.
Excellent ICT skills ( Microsoft Office and database).
Excellent organizational and coordination skills.
Ability to perform complex tasks and priorities multiple projects.
Ability to communicate effectively, both orally and in writing.
Ability to make administrative/procedural decisions and judgments.
Ability to analyses budgetary line items for compliance with budget guidelines.
